Information Technology Services (ITS) has published three new WSU Knowledge Base articles that document Claude access, Claude Team administration, and the upcoming Okta single sign-on (SSO) enforcement. ITS has also created a new WSU Information Stewardship Agreement (ISA) and AI Services Access Request form for premium AI services available through department purchase.
New Article: Getting Started with Claude
- Users request access by completing the required training, identifying their Claude Team option, and submitting the access request form.
- The form creates a Crimson Service Desk ticket, through which ITS coordinates next steps.
- Claude Team is the only Claude account type approved for university use.
- Users must join or create a Claude Team through the WSU access process.
- Claude Team is approved for WSU Public and Internal data only under UPPM 87.53.
The Claude access guide outlines the full process.
New Article: Claude Team Owners
- Each Team holds up to 150 users, with a minimum of two seats.
- Team owners manage their own billing through their unit’s fiscal office.
- Owners can review Team options, including connectors and usage credits, in Settings.
- WSU asks each Team to maintain at least two owners.
- Owners may invite members only after ITS confirms each request.
The Claude Team owner guide details roles, membership, and billing.
Upcoming Change: Okta SSO Enforcement
On May 12, 2027, WSU will enforce Okta SSO for Claude, affecting approximately 760 users whose existing Claude accounts use a WSU email address and who currently sign in without a WSU Claude Team or Okta SSO.
- After enforcement, users may sign in only through Okta SSO. Users may no longer verify with only an email address.
- Only members of a Team established through the WSU access process will be able to sign in.
- Claude accounts on shared or departmental WSU mailboxes are not compatible with Okta SSO.
- Affected users may move into a WSU Claude Team to preserve their work or export their data before May 12, 2027.
The existing Claude account holders guide details available options for impacted users.
New Form: Information Stewardship Agreement
Anyone requesting a premium, department-funded AI service, such as Claude or Microsoft 365 Copilot, must complete the Information Stewardship Agreement after finishing the required “Responsible Use of AI” training in Percipio.
The form requires users to read and acknowledge each of the following sections:
- Training and Certification: Verify completion of required Percipio training.
- Protection of Personal and Regulated Data: Use only the minimum data your duties require and manage AI content as WSU records.
- Allowable Use of Artificial Intelligence (AI) Tools: Enter Confidential or Regulated data only into AI tools approved for that category.
- Required Use of Approved Tools and Managed Accounts: Use Approved AI Platforms through WSU-managed AI accounts rather than personal subscriptions.
- FERPA, HIPAA, CJIS, and Regulated Records: Obtain required agreements or authorization before entering student, health, or criminal justice records.
- Prohibited Behaviors: Review AI content before sharing it, and respect individual consent and access controls.
- Incident Reporting: Report suspected disclosures promptly through designated WSU channels.
- Accuracy, Training, Review, and Consequences: Verify AI-assisted content before any official use.
- Acknowledgment: Confirm agreement with the WSU policies it references.
- AI Tool Selection: Select the WSU AI service you are requesting.
For questions about these resources or the WSU Claude access process, you can open a request in the AI section of the Crimson Service Desk portal.
