Effective Feb. 9, Microsoft will no longer provide an automatic grace period for paid subscription renewals. This change will apply to all Microsoft licensing and storage pack purchases, including those made directly through Microsoft and those procured through CDW-G under WSU’s Microsoft Service Agreement.
To maintain uninterrupted access to paid services, WSU departments must complete the following before July 1, 2026, and the start of each subsequent fiscal year:
- Finalize all Microsoft purchases through WSU Purchasing, CDW-G, or Microsoft.
- Ensure those purchases are recorded by ITS.
Please Note: ITS highly recommends that purchases be completed by June 1 each year and co-termed for the next annual contract period.
When a subscription reaches the end of its term, departments now have the following options:
- Renew before term end
- Renew the subscription, with or without changes, before term end to continue service.
- Please Note: To ensure renewals are completed without service interruption, ITS highly recommends finalizing purchases by June 1 prior to the new contract period starting July 1.
- Cancel at term end
- No additional charges are incurred.
- Service ends immediately at term end.
- Customer data is retained for 90 days before deletion.
