Microsoft 365 License Removals Begin 9/23

Please see the following scheduled Information Technology Services (ITS) maintenance process:

Start Date: Tuesday, Sept. 23, 2025

Start Time: 8 p.m.

End Date: Tuesday, Jan. 27, 2026

End Time: 11:30 p.m.

The following work is being completed: ITS is continuing a scheduled process to remove legacy Microsoft 365 licenses from separated WSU users who no longer maintain active affiliation. This process addresses legacy licensing issues that previously prevented proper deprovisioning of licenses.

  • Notification Period: Email notifications will be sent in batches starting Sept. 23, providing impacted users with a 30-day advance notice of their upcoming license removal. Reminders will be distributed 14 and 7 days prior to their removal date.
  • Removal Period: Earliest license removals will begin on Oct. 23, and the final removals will be completed by Jan. 27.

All affected groups: Former WSU users who no longer have an active affiliation as recorded in university systems.

All affected processes: Access to remaining WSU-provided Microsoft 365 services

Duration of impact: This is a permanent change. However, access to Microsoft 365 services can be restored if a user’s affiliation is reactivated in the future.

Necessary follow-up steps: None. ITS requests your assistance in supporting impacted users as questions or concerns arise.

Additional information:

  • If a user’s role changes between the time their data is extracted and when notices are sent, they may receive a notice unintentionally. This will work not result in any service disruption for these users.
  • If a user should have access but their department has not assigned them the appropriate role, they may temporarily lose access. ITS can provide a temporary Microsoft 365 license until the department updates the user’s role.
